2010 Secret Santa Planning Post

tutufansOkay Ladies and Gentlemen, it's getting towards that time again, the 4th annual Princess Tutu Secret Santa Exchange. Wow, kind of hard to believe this is going to be the fourth year of doing this. As we have done in the past,this will be an cross-community exchange, so people from both ![[livejournal.com profile]](https://www.dreamwidth.org/img/external/lj-community.gif)
princesstutu and from Club-Tutu will be participating. Keep in mind, this post is just to determine the dates we're running the exchange on, we are NOT starting yet.
How it works:
1. We make a Planning Post with polls to choose the sign up dates, and the gift exchange dates.
2. On the most popular dates voted for, a Sign-Up Post with the rules and a survey to fill out with each participant's likes and dislikes is made. Everyone who wants to participate comments and fills out a survey.
3. The people running the exchange assign everybody signed up someone to create a gift for (with as much respect to people's indicated preferences as we can while still being random match-ups; we've learned from past secret santas and want to minimize the drama), and handle switching assignments if someone feels they really cannot handle their original assignment. Assignments will be sent out within 48-72 hours of closing sign-ups.
4. Later on, there will be an Exchange Post made with instructions on how to give gifts. (Gifts may be anything that can be delivered digitally: fanfic, fanart, FSTs, AMVs, graphics, LJ layouts, etc.)
5. At the end of the exchange period, we will assign volunteer pinch hitters and/or personally fill in for any MIA secret santas.
6. Lastly, an Archive Post will be made, showing all of the gifts given/received and who was assigned whom.

We try to set up a large break between sign-ups and the exchange to allow people time to create their gifts.
(All date ranges begin on a Sunday and end on a Saturday, this gives us a Sunday at the end of the period to do things like tally information, send out assignments, etc.)
